Payment reminder emails: an email reminder and a WhatsApp reminder for an invoice, with the timing steps before, due, seven days late and final.

Most payment reminder guides give you a dozen templates and leave you to work out which one to send. This one pairs every template with the day to send it and the situation it fits, so you can pick one in seconds. Each has a subject line and a short WhatsApp version for clients who live in chat.

What a payment reminder email is, and why it works

A payment reminder is a short message that tells a client an invoice is coming due, due today, or overdue, and makes it easy to pay. Most late payments are not refusals. The invoice got buried, the client forgot, or they were waiting for someone else to approve it. A friendly, well-timed reminder fixes most of them.

There are three kinds:

  • Pre-due reminder: a heads-up a few days before the due date
  • Overdue reminder: sent after the due date, getting firmer each time
  • Final notice: the last message before you pause work or take further steps

Start friendly. A strong first message damages the relationship over what is usually an oversight.

How to write a payment reminder email

Every good reminder does the same few things:

  1. Put the invoice number and due date in the subject line. The client can find it later, and it is clear before they open it.
  2. Open warmly and get to the point in the first sentence.
  3. State the amount, the invoice number and the due date.
  4. Include a way to pay. A direct payment link beats bank details in a PDF.
  5. Reattach or link the invoice, so they never have to search for it.
  6. Give one clear next step, and offer to help if something is wrong.

Keep it under 120 words. Short messages get paid; long ones get saved for later.

When to send each reminder: a timing guide

A simple reminder ladder for an invoice with a 14-day term:

  • 3 days before the due date: friendly pre-due reminder
  • On the due date: "due today" reminder
  • 3 to 7 days late: first overdue reminder, still friendly
  • 14 days late: firmer overdue reminder, ask for a payment date
  • 30 days late: final notice, state what happens next

Adjust the gaps to your terms, but keep the order. Each step should feel like a natural follow-up to the last.

How to politely ask for payment

A few phrases that stay professional and still get a reply:

  • "Could you let me know when I can expect payment?"
  • "I wanted to check that the invoice reached the right person."
  • "Is there anything you need from me to process this?"
  • "Happy to help if anything is unclear on the invoice."

Avoid "As per my last email" and anything sarcastic. The goal is to get paid and keep the client.

Email, WhatsApp or SMS?

Email is best for the record: it carries the invoice, it is easy to forward to accounts, and it is what you will point to if a dispute escalates. A short WhatsApp or SMS message gets read faster, and for clients who found you on WhatsApp it is often where they will respond. A good pattern is email for the formal reminders and a short chat message alongside the due-today and first overdue reminders.

What to do if the invoice is still unpaid

  • Call. After two written reminders, a short, friendly call often gets an answer.
  • Offer a plan. Splitting a balance into two payments is better than not being paid.
  • Pause work. Stop delivering new work on that project until the account is current.
  • Use your contract. Apply late fees only if your agreement includes them.
  • Escalate last. Collections or small claims court are for when everything else has failed.

The best fix for late payment is upstream: agree payment terms in writing before you start, and collect payment before you deliver final work where you can. Our photography contract template shows how to write those terms.

Can payment reminders be automated?

Yes, and it is worth it. Writing reminders by hand means remembering to send them, and the awkward ones are the ones that get skipped. Most invoicing tools can send reminders on a schedule.

In Nod, reminders are built into each deal: they go out before the balance is due, on the due date and when it is overdue, by email or WhatsApp. The client gets a link to the same deal page where they signed, and can pay there through Stripe or Razorpay. You see when they have opened it, so you know whether a reminder was read before you follow up.

Payment reminder FAQ

How do I politely send a payment reminder email?

Lead with a friendly line, state the invoice number, amount and due date in the first two sentences, include a payment link, and offer help if anything is wrong. Keep it short.

How many reminders should I send for a late payment?

Usually three after the due date: a friendly first reminder, a firmer second one that asks for a payment date, and a final notice that states what happens next. Send one pre-due reminder before that.

What should the subject line say?

Include the invoice number and the status: "Invoice 1042 due on 12 May" or "Invoice 1042 is now overdue". It is clear before opening and easy to search later.

Should I send payment reminders on WhatsApp?

If the client already talks to you on WhatsApp, yes, as a short companion to your email. Keep it to one or two lines with the amount, the due date and a payment link.
